The Production Coordinator (P.C.) is a part-time contracted role, primarily responsible for concert and rehearsal logistics related to the eight (8) regular season concerts of the Nashville Philharmonic Orchestra. The P.C. will work in coordination with the Executive Director (ED) to ensure smooth concert experiences for audiences, venues, and orchestra members. A significant portion of the role will occur during concert weeks, but a weekly presence at most rehearsals is requested.
Compensation:
- $25.00 per hour, as a 1099 contract hire, paid monthly
- Hours worked will fluctuate based on the specific needs – most Mon-Sun weeks will require 3-5 hours, concert weeks could be as much as 16-20.
- The NPO estimates this role will require 200-250 hours over the course of the concert season (September 2026 – May 2027)
- Periodic coordination with ED to ensure appropriate goals are being set and met
Duties:
Concert Logistics
- Coordinating Day-of-Concert details, starting well in advance of the concert and including on-site during concert day (e.g., ushers, U-Haul, stage set-up/tear-down)
- Assist with acquiring any equipment needed (musical or otherwise) for each concert at direction of Executive and Music Directors
- Coordinate equipment cartage (including driving UHaul or securing volunteer driver/s)
- Work with ED and MD to finalize stage plot for each concert venue
- If necessary, visit potential venues (with ED) to determine suitability for concerts
- If necessary, visit venues two weeks prior to concerts to finalize details
- Identify any venue accessibility issues for musicians or audience, work with ED to determine what accommodations need to be made by Venue and/or NPO
- Assist with concert volunteer needs, especially in regards to Front-of-House and Back-of-House for each venue
- Be primary BoH contact during the concert (or FoH, depending on venue needs)
Rehearsal Logistics
- Some level of attendance at weekly rehearsals is requested to assist with set up and ensure interaction with musicians and volunteers
- Communicate with ED to ensure rehearsal setup is consistent with expected orchestra personnel
- Ensure equipment / instrument needs are met, coordinate cartage if needed
Qualifications:
- Kind and compassionate work ethic to support a diverse group of volunteer musicians
- Required presence at all regular season concerts, including the hours immediately before and after each concert as it relates to logistics and production
- Specific timing can be somewhat flexible as allowed by the ED
- Occasional attendance at Tuesday rehearsals Aug-May, especially when needed to assist ED or other musician volunteers
- Valid US Drivers License, being comfortable driving a UHaul truck is preferred
- Ability to lift up to 30 pounds regularly is preferred, especially as it relates to orchestra stage and chair setup
- Familiarity with Google Suite is strongly preferred (esp. Gmail, Drive, Docs, Sheets, Calendar)
- Ability to communicate a positive image
- Physical ability to carry out the job as described above, with reasonable accommodations
